Duties:
Paralegal experience is required.
High level Role.
Responsible for providing administrative assistance and clerical support to one or more of the Vice Presidents and, as needed, to the departments that report to them.
This position is also responsible to provide back-up support for other Executive Support Staff.
Job Duties/
Responsibilities:
Assists with JCAHO survey preparations.
Coordinates meeting arrangements including reservations for room and audiovisual equipment to include:
notifying attendees, set-up for Environmental Services, dietary requests, preparing and distributing agendas and handouts.
Coordinates travel arrangements to include transportation, hotel, and car rental.
Initiates necessary expense report to Fiscal Management for charges or reimbursement, gives a copy of the report to the Administrative Assistant for budget reconciliation, and updates the Vice President's Education Record to show attendance.
Demonstrates proficiency in computer/word processing, spreadsheets, composition and writing skills, proper grammar and spelling.
Records, transcribes, and distributes minutes as assigned.
Coordinates monthly supply checklists for all clinical areas to ensure all supplies in clinical areas are not expired.
Compiles data and input into tracking spreadsheet for Emergency Care Unit providers related to productivity bonus calculation.
Support for ACO(Accountable Care Organization) staff to include meeting, scheduling and written/email communications as needed.
Maintains updated and current appointment calendars using discretion in scheduling and the rescheduling of appointments and advising accordingly.
Performs and manages special projects by serving as a resource person to gather data and assisting with projects or routine work to ensure that deadlines are met.
Develops presentations as appropriate, utilizing multi-media applications.
Prepares drafts and finalizes correspondence, reports, and memoranda as directed.
Uses initiative to compose responses to routine correspondence.
Prioritizes assignments and completes duties in a timely manner, conducting follow-up as necessary.
Assumes responsibility for assigned projects and follow-through until completion.
Provides coverage for the Executive Assistant and/or Medical Staff Manager as needed.
This may include backup support for Board of Directors meetings and Board committees as well as Medical Staff committee meetings in the absence of the Executive Assistant or Medical Staff Manager.
Receives and screens inquiries in the form of telephone calls, mail, and visitors.
Transmits detailed information, answers questions, takes accurate messages, and refer inquiries to the appropriate individuals.
Opens all incoming mail to screen and prioritize for needed action and follow-up.
Responsible for office supply stocks as well as kitchen supplies.
Performs other related duties as assigned.
Supervision Received Supervision is received from the Vice President(s) to whom the Executive Secretary has been assigned.
Supervision Exercised Supervision may be exercised in the event temporary staff is brought in for project assistance or staffing needs.
Equipment & Software General office equipment is used throughout the organization including personal computers, MS office software, copiers, fax machines, and telephones.
Qualifications:
Associate degree in secretarial science, accounting, bookkeeping or marketing, or equivalent experience is required.
Proficiency with computer software is required to include PowerPoint, spreadsheets, Visio, and Microsoft Project.
Type 50 words per minute, required.
Excellent oral and written communication and organizational skills are required.
Must be a self-starter who requires minimum supervision, required.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster.
