6K a year 9 days ago 9 days ago 9 days ago The University of Iowa Hospitals and Clinics Guest Services department is seeking a Guest Services manager.
The Manager, Guest Services, provides front line supervision and assists with daily operations of all areas within the department including the Patient Escort, Valet Parking, administrative transports, the Evening Staff Shuttle service, and other areas as assigned.
Also develops and manages operations of the Centralized Equipment Distribution program.
Specific Job Duties and Tasks Financial Management Apply knowledge of U of I system for purchasing and expenses to purchase equipment, tools and supplies with allocated budget resources.
Manage and approve inventory and supply purchases.
Manage accounts/expenditures; reconcile statements Implement and manage budget for multiple units within the department.
Oversee and manage the purchase, repair and maintenance of all equipment in the Guest Services areas Provide data and prepare various periodic reports for the department including but not limited to productivity levels, departmental scorecard, processes, personnel and cash handling.
Human Resources Management Recruit, interview and make hiring decisions to fill vacant positions across the department.
Continuously train, mentor, coach, delegate duties when appropriate, and provide leadership to all staff.
Provide comprehensive training and coaching when new duties are assigned.
Create, maintain, and manage a team environment.
Orient staff to assure competency and performance.
Communicate daily expectations and provide regular feedback for meeting department and hospital objectives to all staff.
Support and ensure a diverse and inclusive work environment.
Provide and manage opportunities for team building.
Hold staff accountable and recommend appropriate HR actions to other administrators when appropriate.
Support and encourage professional development.
Establish and maintain standards of collaborative interaction among peers and employees that is characterized by respect, honesty and service; assure that all unit members are held to similar standards and ethics.

Manage and sign off clocking and requests in daily payroll system (ELMS) and work with departmental payroll staff to authorize or deny leave requests and any and all situations dealing with Guest Services payroll.
Evaluate and review the performance of assigned staff including Supervisors and recommends or initiates appropriate personnel actions.
Conduct performance evaluations for all Supervisors.
Planning/Programming Prioritize, manage, and oversee all department daily work assignments.
Research, prepare, and present programs on department initiatives.
Develop recommendations to Guest Services strategic planning process.
Execute established procedures for preventative, routine, and predictive maintenance plans.
Manage work through front line-supervisors.
Manage a culture of service excellence by being proactive vs.
reactive and making adjustments quickly and properly.
Routinely provide data for department and hospital use regarding services, processes, and personnel.
Schedule, assign and manage the work of staff in all Guest Service areas.
Appropriately respond to customer complaints and requests for service and implement corrective measures as needed.
Recommend and manage measures to improve production/service methods, equipment performance, equipment to increase efficiency and safety of the unit.
Maintain professional working relationships with faculty, staff, students and the public at all times.
Represent the department at meetings as required.
Serve on the Hospital Incident Command System.
Operational Management Regulation/Compliance Consistently look for, suggest, implement, and sustain operational improvements, and efficiencies, that will positively impact the patient experience as well as improving overall performance of the department.
Manage necessary inventories and/or procure parts and supplies within the department.
Manage facilities' condition by monitoring day-to-day project work.
Gather information and produce reports to aid in decision making, operational improvements, and to present key information to key stakeholders including hospital leadership.
Prioritize, manage and oversee daily work assignments with all department staff.
Manage compliance completion for all department staff.
Routinely update departmental procedures.
Manage and approve inventories and supply purchases.
Schedule and manage all departmental staff.
Perform administrative duties and assist the Director of Guest Services in the daily operations of the department, serve as the manager in their absence.
Manage the development and implementation of policies and procedures for various departmental activities.
Manage staff in industry standards, safety practices and service excellence initiatives.
Interact and collaborate with associates and user group's hospital wide to resolve issues; improve processes.
When necessary will perform front line duties within all Guest Services area.
Bachelors degree in management or an equivalent combination of education and experience.
5-7 years of experience in customer service, and/or operations, related field.
Demonstrated experience in managing personnel in professional manner.
Excellent written and verbal communication skills.
Qualifications:
2 or more years' experience in management in a health care environment is desired.
